Connecting Findymail to Smartlead: setup, sync, and gotchas in 2026
Connect Findymail to Smartlead to move verified emails into cold campaigns. Setup guide, Zapier automation, and real troubleshooting for 2026.
Findymail costs roughly $49/month for 1,000 verified email credits. Smartlead's Basic plan is $39/month for unlimited sending. That's $88/month for a complete outbound stack. The hidden cost nobody mentions: 2 hours per week of SDR time manually copying rows between the two tools. Over a quarter, that's 26 hours of paid work on a task that should take zero.

How the Findymail and Smartlead Integration Works
Findymail exports verified contacts as CSV files and Smartlead ingests those files as lead lists tied to specific campaigns. There's no native real-time sync. It's a one-way pipe: Findymail owns the research and verification layer, Smartlead owns the sending layer. That's not a product gap. It's correct architecture for a deliverability-first outbound stack.
The practical advantage is bounce prevention. Findymail verifies emails before you export them, so every address entering Smartlead has already cleared a deliverability check. Smartlead's built-in bounce handling is reactive: it catches failures after the send. Pre-verified lists prevent the problem at the source, which is the right order of operations.
Below is the default field mapping between Findymail exports and Smartlead's lead schema. Column headers in your CSV must match Smartlead's variable names exactly. This single detail causes most setup failures.
| Findymail Export Column | Smartlead Variable | Required | Notes |
|---|---|---|---|
| Yes | Import fails if missing | ||
| first_name | firstName | Recommended | Rename before import |
| last_name | lastName | Recommended | Rename before import |
| company | company_name | Optional | Different naming between tools |
| linkedin_url | custom:linkedin | Optional | Needs a custom field in Smartlead first |
| job_title | custom:title | Optional | Needs a custom field in Smartlead first |
Prerequisites Before You Start
You need a paid Findymail account, a Smartlead account with at least one verified sending inbox connected, and a campaign already created in Smartlead to receive the leads. If the campaign doesn't exist yet, build it first: Smartlead won't let you import leads to a non-existent destination, and there's no way to create one mid-import.
Two things to configure in Smartlead before your first import:
- Custom fields: If you want LinkedIn URL or job title available as sequence variables, create those fields under Settings, then Custom Variables. Adding them after the import won't backfill existing leads.
- Sequence merge tags: Write out every variable name you'll use in your email copy before importing. The column headers in your Findymail CSV must match these exactly, including casing and no spaces.
For the Zapier or Make automation path, also grab your Smartlead API key. It's under Settings, then API in the left nav. Have it ready before you start building.
Step-by-Step Setup Guide
The manual CSV workflow takes under 20 minutes assuming your Smartlead campaign is live and your field names are confirmed in advance. The Zapier automation takes about 45 minutes the first time, then near-zero effort after that. Run the manual path at least once before automating: it makes every downstream error much easier to diagnose. Here are the six steps.
- Run your Findymail search. Use Findymail's domain search, LinkedIn enrichment, or bulk upload to build your prospect list. Before exporting, apply the email status filter: export only contacts marked "valid" or "catch-all" and skip unknowns entirely. Unknown emails aren't worth the bounce risk.
- Export as CSV. Click Export and choose CSV. Lists under 5,000 rows download immediately. Lists over 5,000 rows get queued and delivered by email: don't wait for a dashboard download link on large exports. If you need results fast, split the search into batches of 2,500.
- Rename your CSV column headers. Open the file in any spreadsheet tool. Rename first_name to firstName, last_name to lastName, company to company_name. Cross-reference the field mapping table above. Smartlead's importer is case-sensitive and whitespace-sensitive. This step is the most skipped and the most costly to skip.
- Open your Smartlead campaign. Navigate to the Leads tab inside the target campaign. Click "Upload CSV" and select your edited Findymail export.
- Map your fields in the import wizard. Smartlead displays a field-mapping screen before processing. Confirm that email maps to Email, firstName to First Name, and so on. Map any custom fields for LinkedIn URL or job title here.
- Review and confirm the import. Smartlead shows a row count and a skipped-row count before you accept. Skipped rows almost always mean a missing email value in that row. Accept the import. Leads appear within 30 seconds for lists under 1,000 rows, a few minutes for larger ones.
Automating the Sync with Zapier or Make
At more than 300 leads per week, the manual CSV path is costing you real money. Transferring 300 contacts manually takes about 25 minutes including export, rename, and upload. Over a month that's 2 hours of SDR time on a task automation eliminates entirely. Both Zapier and Make have Findymail connectors that trigger on new export completions and push contacts directly into Smartlead via the API.
The Zapier setup: create a Zap with "New Export Ready" as the Findymail trigger, then add a Smartlead action for "Add Lead to Campaign." Before the Smartlead action, add a filter step that excludes any row where email status isn't "valid." Without this filter, catch-all and unknown emails push into your campaign automatically and degrade deliverability over time.
Make's Smartlead module supports bulk lead creation natively, so you can batch contacts in groups of 100 per API call instead of one at a time. This is meaningfully faster for large exports and keeps Smartlead's rate limits comfortable. For teams pushing more than 1,000 leads per week, Make is the better choice here. Zapier's one-at-a-time model slows down at that volume.
The gotcha that kills most first-time automations: Smartlead has a lead cap setting per campaign. If your automation fires when the campaign is already at capacity, the import fails silently with no error and no notification. Check the lead cap under campaign settings and raise it before you activate the Zap or Make scenario.
Common Errors and How to Fix Them
Most failures in this integration break at one of three layers: the Findymail export, the CSV field-mapping step, or the Smartlead campaign state. Knowing which layer broke gets you to a fix in 5 minutes instead of filing a support ticket.
Merge tags showing as blank in sent emails. This is always a field-mapping mismatch. Your CSV column header doesn't match the Smartlead variable name exactly. Go back to your CSV, fix the header, and re-import. You can't patch this after leads are already in the campaign: delete and re-upload with corrected headers.
Leads imported but not entering the sequence. Your campaign is paused, or you imported leads before connecting a sending inbox. Smartlead won't automatically activate a paused campaign when new leads arrive. Activate the campaign manually and confirm at least one inbox is connected and warmed.
Export shows zero rows or sits at "processing" indefinitely. Large Findymail exports over 5,000 rows get queued and delivered by email, not the dashboard. Check your inbox. If nothing arrives within 10 minutes, try splitting the search into batches of 2,500 rows each.
Zapier or Make silently skipping leads. Your campaign is at its lead cap, or your email status filter is too aggressive. If you're filtering for "valid" only and most of your Findymail list comes back as "catch-all," very few leads will push through. Raise the lead cap and consider including catch-all emails for high-confidence domains.
Who This Stack Actually Makes Sense For
The Findymail-Smartlead combination fits three outbound profiles well: founder-led prospecting without a dedicated SDR, small SDR teams targeting 500 to 800 accounts per month, and agencies managing multiple client campaigns from one Findymail workspace. It's not a fit for enterprise teams that need bidirectional CRM sync or real-time intent enrichment. Those teams need a more complex stack and will hit the limits of this setup within weeks.
Founder-led outbound. A B2B SaaS founder prospecting 200 ICP accounts per month uses Findymail's LinkedIn enrichment to pull verified emails, renames the CSV headers, and uploads to Smartlead in one 20-minute block per week. No SDR hire, no additional tooling. Per internal Modern Inbound data across 3,000+ campaigns, this setup books 4 to 6 meetings per month when the ICP definition is tight and the sequence angle matches actual buyer-language outreach.
Small SDR team at volume. A 2-person SDR team targeting 600 accounts per month uses the Zapier automation to eliminate list-transfer work. SDRs write copy and review replies instead of managing CSV files. At a fully-loaded SDR cost of $60/hour, the 6 hours per month saved is $360/month recovered from pure admin.
Agency running multiple clients. An outbound agency handling 10 client accounts uses Findymail's team workspace to keep lists separated by client, then imports into client-specific Smartlead sub-accounts. The one-way export model prevents cross-contamination: there's no shared sync that could push one client's contacts into another campaign.
Scale Outreach Without Hiring SDRs
Most B2B teams underestimate the work before sending: buyer-language research, list logic, DNS, warm-up, deliverability, copy testing, and reply handling. Modern Inbound runs the operating layer so founders can stay focused on sales calls.
Frequently Asked Questions
Does Findymail have a native integration with Smartlead?
No. As of 2026, there's no native connector. The standard path is a CSV export from Findymail imported manually into Smartlead. For automated syncing, you need Zapier or Make.
Will Smartlead re-verify emails imported from Findymail?
Smartlead has a basic bounce filter but doesn't run full verification on import. Export only valid or catch-all emails from Findymail and deliverability is handled before leads touch Smartlead.
What happens if I import the same lead twice?
Smartlead deduplicates by email address within a campaign. The second import is skipped silently with no duplicate created and no data updated. Delete the lead first if you need to update their custom fields.
Can I sync engagement data from Smartlead back to Findymail?
No. The flow is one-directional: Findymail to Smartlead. For CRM-level engagement tracking, run a separate Smartlead-to-CRM integration in parallel.
Which Smartlead plan supports the API for automation?
Smartlead's API is available on the Basic plan and above. Your Zapier or Make task limit is almost always the bottleneck, not Smartlead's API. Check your automation plan covers your weekly lead volume before building.
