How to integrate Reachinbox with HubSpot in 2026

July 28, 20268 min read

ReachInbox + HubSpot syncs replies, bounces, and contacts in real time. Setup in under 20 minutes. Full 2026 field mapping and troubleshooting guide.

ReachInbox doesn't have a CRM built in. That's fine. But without connecting it to HubSpot, every reply, bounce, and unsubscribe from your cold campaigns sits in a silo. Your sales reps work out of HubSpot. If those signals never reach it, someone's copying contact statuses by hand. On a 5-person outbound team, that's roughly $300/month in wasted SDR time, per industry benchmarks on manual data entry rates.

The good news: ReachInbox's native HubSpot integration solves this without Zapier, without Make, and without a middleware nightmare. Here's exactly how to set it up and what to watch for.

How the ReachInbox + HubSpot Integration Works

ReachInbox syncs cold email activity - opens, replies, bounces, unsubscribes, and link clicks - to HubSpot contact records and timeline events in near-real time, typically within 2-5 minutes of the trigger event. The sync is one-way by default (ReachInbox to HubSpot), but bidirectional contact import is available if you're pulling HubSpot contacts into sequences.

This is meaningfully better than what Smartlead and Instantly offer out of the box. Both of those tools require a Zapier or Make bridge to push events to HubSpot, which adds latency (often 5-15 minutes), costs an extra $20-50/month in automation credits, and introduces one more failure point into your stack. ReachInbox's native connector doesn't have those problems.

  • Email opens (tracked as HubSpot contact property and timeline entry)
  • Replies (creates a HubSpot timeline event with reply preview)
  • Bounces (updates contact email status in HubSpot)
  • Unsubscribes (sets HubSpot opt-out property automatically)
  • Link clicks (tracked as engagement events on the contact record)

HubSpot doesn't push deal or pipeline changes back to ReachInbox automatically. If you want ReachInbox sequences to fire based on HubSpot lifecycle stage, you'll configure that on the import side, not through the integration itself.

How to Set Up the Integration (Step by Step)

You'll need a ReachInbox Scale plan or above (the Basic plan doesn't include native integrations), a HubSpot account with at least Marketing Hub Free, and about 15 minutes. HubSpot Super Admin rights are recommended for the OAuth step - some portal permissions block scope access if you're connecting as a non-admin.

  1. Open ReachInbox Settings: Navigate to your ReachInbox dashboard, click your workspace name in the top-left, and go to Settings > Integrations.
  2. Select HubSpot: Find the HubSpot tile in the integrations list and click Connect. If you don't see it, confirm your plan includes integrations (Scale and above).
  3. Authorize via OAuth: A HubSpot authorization window opens. Log in as a Super Admin. Grant the requested scopes: contacts, timeline, settings. Don't uncheck any scope - partial grants cause silent sync failures later.
  4. Select your HubSpot portal: If your HubSpot account has multiple portals, pick the correct one here. You can't change this without disconnecting and reconnecting the entire integration.
  5. Map your fields: ReachInbox shows a default field mapping. At minimum, confirm that email address maps to HubSpot's primary email property, not a custom one. Mismatched field types cause import errors that are hard to diagnose.
  6. Set trigger events: Choose which ReachInbox events create HubSpot timeline entries. Replies and bounces are high-value. Opens are noisy - enable them only if your HubSpot workflows depend on engagement scoring.
  7. Run a test sync: Send a test sequence to an internal email address. Open it, reply to it, then check the HubSpot contact record within 5 minutes. If the timeline entries appear, you're done. If not, see the troubleshooting section below.

Field Mapping Reference

Default field mappings cover 80% of what most teams need. The remaining 20% is where errors happen. Custom HubSpot properties and non-standard contact fields need manual mapping, and ReachInbox won't warn you if a field is unmapped - it just won't sync that data.

Troubleshooting Common Errors

Most ReachInbox + HubSpot integration failures trace back to three root causes: incomplete OAuth scope grants, email address mismatches between the two systems, and HubSpot property type conflicts. All three are fixable in under 10 minutes once you know what to look for.

Timeline events not appearing in HubSpot

Check your OAuth scopes first. Go to ReachInbox Settings > Integrations > HubSpot > Manage Scopes. If the timeline scope isn't listed, disconnect and reconnect as a HubSpot Super Admin. Non-admin connects often silently drop the timeline scope, and the integration shows as active even though events aren't posting.

Contacts not importing from HubSpot to ReachInbox

The email field mismatch is the most common cause. If your HubSpot contacts use a custom Work Email property instead of the native email field, ReachInbox won't find them. Export your HubSpot list to CSV first, verify the email column header is Email, and re-import manually if needed.

Bounce status not updating in HubSpot

ReachInbox only pushes hard bounces via the native integration. Soft bounces - delivery delays, full mailboxes - don't trigger an update. If you need those covered, you'll want a Zapier step watching for soft bounce events specifically. It's a known gap in the native connector as of Q2 2026.

Duplicate contacts created in HubSpot

This happens when ReachInbox contacts have a slightly different email format than existing HubSpot contacts. Run a HubSpot deduplication sweep before enabling the integration on a large list.

Real Use Cases for This Integration

The teams getting the most value from this integration use it to cut the gap between a prospect replying and a sales rep picking it up in CRM from hours to minutes. If your average reply-to-first-call lag is 4+ hours, that's where meetings slip and deals go cold.

Auto-enroll warm replies into HubSpot sequences

When a prospect replies to a ReachInbox campaign, the timeline event fires in HubSpot. Set a workflow: if timeline event equals email reply received and lead status equals New, then enroll in a HubSpot follow-up sequence. Your AE gets a pre-warmed lead with full email context, not a cold name from a spreadsheet.

Clean bounce data for better list hygiene

Hard bounces from ReachInbox automatically update the HubSpot contact's email status. Over a 90-day campaign, this creates a self-cleaning contact database. Teams using this pattern report 15-20% list quality improvement without any manual cleaning, per internal data from Modern Inbound's 2025-26 campaigns.

Track outbound attribution in HubSpot reports

Map ReachInbox campaign names to a custom HubSpot contact property. Then build a HubSpot report showing contacts with a campaign source who became SQLs in the last 90 days. Clean outbound attribution without a separate analytics tool.

Scale Outreach Without Hiring SDRs

Most B2B teams underestimate the work before sending: buyer-language research, list logic, DNS, warm-up, deliverability, copy testing, and reply handling. Modern Inbound runs the operating layer so founders can stay focused on sales calls.

Frequently Asked Questions

Does the ReachInbox HubSpot integration require a paid HubSpot plan?

No. The OAuth connection works with HubSpot's free CRM. However, HubSpot workflows that act on ReachInbox events require Marketing Hub Starter ($20/month) or above. If you only need contact sync and timeline events without automation, the free plan is sufficient.

How long does it take for ReachInbox events to appear in HubSpot?

Typically 2-5 minutes for replies and bounces. Opens can lag up to 10 minutes during high-volume sends. If events haven't appeared after 15 minutes, check your OAuth scopes and confirm the integration is enabled, not just connected.

Can I sync ReachInbox data to HubSpot deals, not just contacts?

Not natively. The ReachInbox HubSpot connector maps to contacts only. To associate campaign events with deals, you'd need a HubSpot workflow that propagates the contact timeline event to the associated deal record. It requires a paid HubSpot plan with workflow access.

What happens to existing HubSpot contacts when I enable the integration?

Nothing changes automatically. The integration only updates contacts when a ReachInbox event fires for that email address. Existing contacts without any ReachInbox campaign activity won't be touched. You can safely enable it on an active HubSpot portal without bulk overwrites.

Getting Started

The setup takes 15 minutes. The value comes from HubSpot workflows that act on what ReachInbox sends over - routing warm replies to AEs, enrolling responders in follow-up sequences, flagging hard bounces for list cleanup.

If you'd rather have the full outbound motion built and managed for you, including cold email infrastructure, HubSpot handoff, and reply routing, Modern Inbound handles it end to end. Most clients see their first qualified reply within 3 weeks.
