How to integrate Smartlead with Airtable in 2026

How Smartlead and Airtable Work Together

This integration moves lead records from an Airtable base into Smartlead campaigns in one direction: Airtable to Smartlead. There's no native connector between the two tools, so you need Make or Zapier as middleware. Make handles Airtable's multi-select fields more cleanly, costs about a third of what Zapier charges at mid volume, and is the better pick here. Use it.

When a new row appears in a specified Airtable view, the workflow fires, pulls those fields, and calls Smartlead's API to add that contact to a campaign. On paid Make plans the sync runs near-real-time. On the free tier it checks every 15 minutes.

Replies don't sync back automatically. Getting Smartlead reply data into Airtable requires a second scenario using Smartlead's webhooks, which is covered in the FAQ below.

How to Set Up the Smartlead + Airtable Integration

Setup takes 30 to 45 minutes if your Airtable base already has the right fields. Most people spend that time on field mapping, not authentication. You need a Smartlead API key, at least one active campaign, and a Make account.

  1. Prepare your Airtable base. Add columns for Email, First Name, Last Name, and Company Name as plain text fields. Add a single-select Status field with at least one option called "Ready to send."
  2. Create a filtered view. In Airtable, create a view named "Ready to send." Set one filter: Status is exactly "Ready to send." Your automation watches this view, not the full table, so stray rows don't fire campaigns accidentally.
  3. Get your Smartlead API key. In Smartlead, go to Settings then API. Generate a key with campaign write access. Copy it immediately. The key only displays once on some plan tiers.
  4. Build your Make scenario. In Make, create a new scenario. Search for Airtable and add a Watch Records module. Authenticate your Airtable account, then select your base, table, and the filtered view from step 2.
  5. Add the Smartlead action module. Search for Smartlead in Make's app library. Select Add Lead to Campaign. Paste your API key. Choose the target campaign from the dropdown that populates after authentication.
  6. Map fields and test. Connect Airtable's Email column to Smartlead's email field. Map First Name to first_name and Company Name to company_name. Activate the scenario. Add one test row to Airtable with Status set to "Ready to send" and confirm it appears in Smartlead within a minute.

Field Mapping: What Syncs and What Doesn't

Smartlead requires email and first_name at minimum. Company name and last name improve personalization but won't break the flow if they're empty. The more important constraint is field types: Airtable formula fields, linked records, and attachments don't pass through cleanly. Stick to plain text, numbers, and single-selects for every column you plan to sync.

Custom variables in Smartlead, like {{pain_point}} or {{company_size}}, map to any text field in Airtable. A lead with five enrichment columns in Airtable arrives in Smartlead fully loaded for dynamic copy. That's where the personalization value compounds.

Troubleshooting Common Setup Failures

Three errors cause most failed setups: the API key lacks campaign write permission, the Airtable trigger view doesn't include newly created records because of a stale filter, and multi-select fields arrive as JSON arrays that Smartlead's API rejects. Fix the view filter first, check key permissions second before digging into field types.

If leads aren't appearing in Smartlead after the scenario runs, open Make's run history. A 422 error means a field format problem. A 401 means the API key is wrong or expired. A 409 means that lead's email already exists in the campaign.

The 409 conflict is worth handling explicitly. Add a Make error handler that ignores 409 responses and marks the step resolved. Without it, one duplicate email halts the entire scenario run and stops every subsequent lead from going through.

One more edge case worth knowing: Airtable's Watch Records module only picks up rows created or modified after the scenario activates. It won't backfill existing data. To import rows that already existed in your base, use a Search Records module with a manual trigger instead of the watch trigger.

When This Integration Is Worth Building

This setup pays off fastest for teams refreshing Airtable lead lists more than twice a week. Under 100 leads a week, the build time won't break even for months.
